We are looking for qualified personnel with high motivation, initiative and integrity to fill in the following positions:

ADMIN ASSISTANT
Purpose:
Perform secretarial functions and office administration duties.

Main Accountabilities and Responsibilities:
• Organize and make priority for the flow of communications (phone calls, visitors, records, etc.)
• Translate incoming and outgoing letters and faxes, Minutes of Meeting (MOM) and technical document from Bahasa Indonesia to English and vice versa.
• Coordinate logistics (HSE inductions, visas, relevant permits, office facilities and supplies, transportation and hotel bookings) to support HQ missions/visits.
• Handle confidential business matters for all staff.
•Maintain and organizing all Production Manager and staff’s files.
• Draft correspondences and reports.
• Draft general/short letters, memos and faxes on behalf of Production Manager and staff.
• Prepare documents or letters (SKKMIGAS and/or Migas).
• Arrange business travel for Production Manager and staff (preparing documents needed and make a flight reservation).
• Handle incoming and outgoing mail and faxes.
• Record and maintain Production and personnel leave balance calculation, training, and business trip.
• Keep the Production Manager calendar up-to-date.
• Archive all documents belong to Operations department (including books, manual, etc.)
• Liaise with HR officers for monitoring mission visitor’s status.
• Coordinate preparation of the routine regular reports and organizes their dispatch.
• Ensure proper records (e.g. weekly, monthly, well reports, etc. are kept for transmittal).
• Monitor and order stationary and office supplies when required.
• Schedule appointments or meetings for staff.
• Organize all aspects of Operations department (invitations, presentations, catering, etc.)
• Compile staff reports and schedules.
• Liaise with Finance Department (Accountants and Cashier) regarding expense claim reimbursement and other settlements.
• Liaise with HR officers for updating Operations staff’s movement or personnel on board (weekly).
• Generate and follow-up Material & Service Requisition (MSR).
• Keep vacation/training/mission planner up-to-date and inform the Production Manager about any changes.
• Keep leave register for all the staff up-to-date in close coordination with HR.
• Keep up-to-date the missions register and report coordination/planning activities to the Production Manager.

Qualifications & Experience:
Education
• Secretarial Education Diploma / Business Administration Diploma / Management Diploma
Experience
• 5-10 years’ experience as admin or similar position

CMMS Specialist
Main Accountabilities and Responsibilities:
• Performs quality assurance of CMMS system, ensure the maintenance team, planner and field scheduler are utilize CMMS as per Company Standard
• Implement Master Data Change Request (MDCR) in SAP and ensure SAP master data is updated in terms of Asset register, maintenance task and etc.
• Support the new project for CMMS implementation
• Serves as Program Administrator for the Computerized Maintenance Management System
• Maintains CMMS system necessary for daily operation departments
• Consults with Operations management staff on policies, procedures, rules, regulations and practices relating to safety, security, efficiency and effectiveness of CMMS.
• Develops work methods (Job Plans) and analysis procedures.
• Conducts staff CMMS training and develops written procedures.

Qualifications & Experience:
Education:
Equivalent to a Bachelor’s degree from an accredited college or university with major course work in information systems, computer science, or a related field.

Experience:
• 5 years of Oil & Gas or Petrochemical industry experience exposure as CMMS Specialist working with enterprise software, preferably SAP.
• Experience to include SAP CMMS development, work order coordination, reporting, and system aministration.
• Experience or exposure with planning/scheduling and auditing overall facilities/maintenance activities Training and Certification
• Holding the SAP Plant Maintenance module certification is preferred

Language

Planner
Purpose:
Maintenance Planner is responsible for providing Maintenance Planning as required by company for FPU and ORF facilities.  Maintenance planning activities shall be conduct in safe manner with maximizing field production efficiency while minimizing the total maintenance cost (production downtime, spare parts, man power, etc.) and meet daily production targets whilst complying with company guidelines and legal requirements.

Main Accountabilities and Responsibilities:
• Develop job plan packages for maintenance work activities to maximizing operating facility, equipment reliability, equipment availability and minimized equipment downtime.
• Ensure the resources including manpower and materials required for planned Maintenance and corrective maintenance are available at the time the work order is scheduled.
• Liaise with Maintenance supervisor, Technical Coordinator, Asset Integrity Coordinator, field scheduler and related parties to ensure long term and short term planning targets achieved and ensure maintenance KPI is achieved.
• Liaise with material management in order to have available of spare part in timely and cost effective way for PM or CM activities including determine the most effective and efficient material inventory.
• Liaise with Maintenance Engineering team to analyze the maintenance data for improvement
• To provide data or information to maintenance engineering team for monthly report internal and external
• Performs quality assurance of CMMS system, ensure the maintenance team and field scheduler are utilize CMMS as per Company Standard

Marine Operations & Transportation Dispatcher
Main Accountabilities and Responsibilities:
• Provides support and reports to Logistic Superintendent and Logistic Manager in every aspect of onsite transportation modes on a daily basis.
• In coordination and effective communication with Shore base Superintendent, Facility Superintendent and also offshore facility person in charge for the transportation arrangement and crew change support.
• To check and ensure that the passenger and/or user of transportation are included in the manifest and meet the safety requirement for travelling using the provided transportation mode.
• To give staff direction, guidance and advice to ensure work is completed safely, properly, efficiently and on time
• Identify, plan and implement changes to transportation operations as needed or directed.
• Maintain accurate records, logs and files related to dispatch activities and functions and to produce transportation site daily report.
• Ensuring safety procedures are implemented in all kind of transportation mode according to company policy.
• To monitor and ensure the preparation of transportation request for Balikpapan area and surroundings operations area is well planned and ready for operations.
• In coordination with EKAL Operations Logistic Support Manager to ensure transport operation is conducted according to the schedule, usage optimization & meet with minimum convenience expectation.
• Proposing and developing a policy or procedure to EKAL Operations Logistic Support Manager if necessary in order to improve the quality of transport operations.
• In day to day operations, responsible to establish and maintain harmonious relationship operation between the company and the contractor services provider according to company ethic policy.
• Maintain effective communications with the user and to follow up for any user feedback, to include maintain user satisfaction survey.
• Overseeing for all the expenses incurred from all the transportation activities.
• To plan, lead and conduct regular safety meeting/briefing with the subordinate and relevant party.

Minimum graduated (D3) in the relevant major subject or equal experience in the subject field minimum 5+ years on the oilfield and/or marine industry as dispatcher.

Experience:
Minimum 5+ year experiences as Dispatcher or in the field of Transportation, with minimum 3 years in field/Off-shore operation

Cargo Handling Operations
Main Accountabilities and Responsibilities:
Directly manage cargo handling, lifting within the storage area open yard, pipe yard and coordinate jetty operations.
• Ensure proper handling of all materials and cargo with appropriate standard
• Supervise all company materials movement in all yard operations
•Monitor loading/unloading of materials to ensure safe transfer between location
• Document all incoming and issuing materials and cargo in good order and neatly.
• Monitor inventory of yard supplies
• Coordinate with Base Superintendent and Warehouse Operating Lead and prepare necessary paperwork with third parties
• Perform routine and non-routine maintenance on materials and equipment and prepare report to submit to Base Superintendent
• Maintain neat and clean yard at all times.
• Document all incoming, custody and issuing materials support with required documents.
• Prepare heavy equipment for materials and cargo at yard and jetty with coordination with third party contractor
• Preparations and entry of pertinent data into corporate databases.
